Part 5

Part five:
Many shipping companies exist nowadays and most of them offer similar if not identical solutions. Of those companies, FedEx, Aramex, and UPS are the most commonly used for shipping purposes. Although people prefer to go to the one closest to home, each company has its specials and exclusive offers.

Most people already know FedEx and use it regularly to ship their items. It has a very accurate and precise tracking system for the shipped items. It also gives the customer the choice of buying the shipping supplies and packing their items themselves though it is not advised. One of the unique features of FedEx is offering printing and copying services, which include a variety of solutions. For example, one can order special signs and banners designed for him and FedEx will take care of printing and delivering those products to the customer’s doorstep. Business document printing like flyers, brochures, manuals, and newsletters are also offered by FedEx. Some FedEx offices include Computer Workstations for the customers to use at their convenience. They also offer photo enlargement, printing directly from the customers computer, and various other services. All these unique solutions are only implemented at FedEx. Other companies could learn from this initiative and try to develop similar services for their customers to increase their revenue.

Some people don’t like to go for the big companies either because they cannot afford it or because they think it’s more expensive. They tend to stay with the company they are already using or the one closest to home. In some countries, UPS is the company having the majority of customers. This is due to their new service called UPS My Choice. Most customers complain about not getting their shipments where they need them or missing the signature at the time of delivery due to their busy lives. UPS was the first to develop a very convenient way of delivering packages where the customer chooses when and where their packages should be delivered. This cuts down the number of times the delivery man has to redeliver the package to the same address thus increasing the company’s revenue.

The majority of online shoppers tend to go to US websites to buy stuff; because they have good quality products and because they are much cheaper than buying from the retail store across the street or at the shopping mall. However, most US websites don’t offer international shipping and the customer has to search for other websites that do. Eventually, the customer doesn’t find such websites and goes to buy from the retail store in town. Aramex solved this issue by a variety of solutions. It offers its registered customers personal mailing addresses in the US, UK and China without living there. By doing so, the customer can now shop at any US website and use their US address to get the package. Aramex then forwards the package to the customers home address whether it be internet orders, gifts, magazine subscriptions, or even bank statements. If the customer cannot or do not want to use their bank’s credit card, Aramex offers a virtual credit card that can be reloaded with money and used at any website at the customer’s convenience. Some people need to pick up a package from someone but most of the time they cannot because they are outside the country. Aramex deals with this problem by presenting the customer a pickup service where one of Aramex’s staff goes to pick up the package and processes all the documents to get the package to you as soon as possible and wherever you are in the world. One of the unique services that Aramex provides for its customers is a dedicated e-store and full shipment handling for the customer’s business. The e-store is hosted and maintained by Aramex and all payments are processed securely by their intelligent software. They also offer a design feature for the customers website so that he doesn’t have to worry about who is going to develop and design his e-store. Aramex’s latest addition to their existing solutions bag is their Records Management services where they offer secure physical and electronic records management as well as IT Escrow services and secure shredding.

Many companies including FedEx can implement the solutions offered by Aramex and UPS in their company to help increase their growth and revenue and to have more satisfied customers in their offices. However, one should not only copy other companies’ actions and tries to develop their own unique products and services to establish a well defined social position and prevent lawsuits from stopping their business in the market.

ü Save time when they are getting the goods.
ü Downsize the amount of employee.
ü Helping the user to calculate their fees.
The cons:
ü This system is a one year installation and it requires a lot of customization.
ü This system is affected by a lot of customization:
o   The validation and the performance of some forms.
o   Changing the role every day.
o   Also the price of materials is changing daily so the employees can make some mistakes when they put the information.
ü It s needs some expert in this system.
ü The administers have some difficulties when they put the information in the system and check if it is fine.

The advantages & the disadvantages of using other information systems:

Today FedEx and its worldwide alliance form an extensive transportation network that spans the four corners of the globe. With offices strategically located in major cities, FedEx offers customers around the world comprehensive transportation solutions that range from international and domestic express delivery, freight forwarding, logistics and warehousing to publication distribution.

A completely integrated information and communication technology infrastructure connects FedEx worldwide operations, enabling a seamless flow of information between FedEx and its alliance members and customers. FedEx also develops an array of customized IT solutions for its clients and trains their staff on working with the technology.

FedEx has designed and implemented a quality management system which is “Dhabi system''. "The main objective of the system is:” Abu Dhabi registers all goods that come from the boards or going out. Collect the fees (percentage related the type of the goods) and know about the price of all materials in the port and how to get inside or out and registering the goods insure all of the financial procedures are saved. It can make the procedures easier for the end user, also make sure everything is good and it shipped to the owner. There are phases of information collection to understand the procedures. After gathering the information the vender can start implementing the system and maybe the worker can start. In any phase of implementation, the management can help or asset vender to make sure the system will be perfect. Dhabi system is very easy to use for the end users with some difficulty with the administrators, so the employees can get the report or anything more easily but the administrations have some difficulty when they put the information in system and check is fine. With using online to register and order the goods, insures of all of the financial procedures are saved. To check about the system and everything is fine and check with" IT "department to know if the system works well. Finally this system can help a lot of people to calculate the fees, save time and downsize the amount of employee because all of it depends on information system."[1]

As a solution provider FedEx invests in building knowledge workers rather than employees. Only the best and qualified people are recruited by FedEx to provide its clients with customized services. FedEx trains its people extensively and continuously and empowers them to act as creative solution providers, providing the best quality service for their customers.
Innovation drives the daily work at FedEx. It dictates everything FedEx does to ultimately serve customers with efficiency and care. Whether by devising better ways to communicate with customers or faster ways to track their shipments, innovation leads the process. This innovation originally stems from listening to customers and addressing their needs. Small ideas and big ideas coming from all levels of the company continuously feed and are fed by this creative atmosphere.

"The  below figure provides an example of one of FedEx’s e-commerce solutions. It shows how FedEx customers can tap into a network of systems through the Internet. When a customer places an online order, the order is sent to a FedEx Web server. Information about the order and the customer is then sent to the merchant’s PC, and a message is sent to the customer to confirm receipt of the order. After the order is received and acknowledged, the FedEx Web server sends a message to the merchant’s bank to obtain credit approval. At the same time, the order is sent via electronic data interchange (EDI) to a FedEx mainframe that activates the warehouse management system. The order is processed (goods are picked and packed), the warehouse inventory system is updated, and the shipping process is activated. Information regarding the processing of the order is accessible at the three remote electronic data centers (EDCs) located in the United States, the Europe/Mediterranean (EMEA) region, and the Asia Pacific (APAC) region. During the entire process the customer, the merchant, and FedEx employees may track at any time the status of the order and its fulfillment via the Web." (information technologies,2009,s2-3)1

"The new e-commerce-based FedEx business model creates value for its customers in a number of ways: It facilitates better communication and collaboration between the various parties along the selling and supply chains. It promotes efficiency gains by reducing costs and speeding up the order cycle. It encourages customers not only to use FedEx as a shipper but also to outsource to FedEx all their logistics activities. It also provides FedEx a competitive edge and increased revenue and profits. Thus, FedEx has changed from an old-economy shipping company to an e-business logistics enterprise." [2]

Part 2

As we know that, information systems make business easy and simple because it help the company to manage the data, make forecasts , and other activities that facilitate the company work.
“Information systems (IS): as one that’s collect, processes, store, analyze, and disseminates data and information for specific purpose”[1].
After we define what we mean by information system, we will talk in this part about the information system in FedEx Company, as we talked about the FedEx history, we know that this company is working in a global scale, and with this scale, the company sure have a lot of information to deal with it every day. FedEx company deal with three level of information system in the organization, the First level is the departmental level, and with this level, the company exchanges the information for the same branch with their employers avoiding the use of papers. The second level is inter- organizational level, and this level include a wide range of information exchange, they use this level to exchange the information between the branches inside the country, for example, if they have a customer want to ship products from Abu-Dhabi to Dubai, the branch of Abu-Dhabi communicate with the branch of Dubai using the second level of information system. And the third final level is the organizational level, and this level is the largest size of information exchange in the FedEx Company, because it connects all FedEx branches around the world together.
After we discuss the level of organization system in the FedEx Company, we will discuss now the information system they use, when I made discussion with the employee, he told me that “they use Dhabi system, and this system is not TPS, MIS, DSS or EIS”[2] .which is made by Abu-Dhabi custom. This system can store, analyze, forecast and other activities that help the user to do his work with high efficiency.
“the main objective of the system is that: Abu Dhabi registers all goods that come from the boards or going out, also this system can help a lot of people to calculate the fees, save time and downsize the amount of employee because all of it depends on information system[3]As we know , every information system consist of data , information and knowledge , and in this part I will take about this three elements in FedEx ,but before we talk about it, but we will first define each of them (data, information and knowledge).
On the topic that Information Technology For Management Efraim Turban and Linda Volonino (N/A , p.41) have stated “Data: Elementary description of things, events, activities, and transactions that are recorded, classified, and stored, but not organized to convey any specific meeting. Information: Data that has been organized so that they have meaning and value to the recipient. And Knowledge: information that has been organized and processed to convey understanding, experience and expertise as they apply to a current problem or activity”.[4] In the FedEx,” the type of data that they having is very simple, when you give the your shipment to the FedEx company, they will take details from the customers, like customer names, the receiver name, shipment destination, shipment weight... Etc..” [5]. And after they receive this data, “they re-organize all shipment in order on the shipment destination. With this process, they made their information “[6] and this is there type of information. After they finish from these processes, they finish from collects the data and information.
Next , their type of knowledge is simple “after the shipment reach to their destination , they save the information in their system , there divide their knowledge into two categories , first category is new information , in this category they put the information that doesn’t exceed the period of 6 months , and the second category is old information , and in this category they put the information that exceed the period of 6 months.” [7]
